Essential Job Responsibilities and Tasks:
- Regular on-site attendance, Monday through Friday, 8:00am – 5:00pm
- Reception – act as first point of in-person contact for visitors, and answer/route incoming calls
- Maintain reception area, conference room, and break room (posted schedules, appearance, organization, etc.)
- Act as point of contact for general office needs
- Monitor, maintain, and coordinate service for office supplies, refreshments, and office equipment
- Coordinate onsite meetings and conference calls for staff
- Assist with offsite meetings, and catering as needed
- Monitor office and parking; resolve issues with vendor contacts
- Process and manage incoming and outgoing mail and Fed Ex packages
- Assist HR with orientation and onboarding of new hires
- Assist with travel arrangements as needed
- Set up and maintain travel profiles for staff
- Participate in internal administrative initiatives
Human Resources Duties:
- Assist Office Lead to ensures work is done in accordance with HR and Firm policies and procedures
- Communicates effectively with both internal and external customers.
- Serve as liaison with Building Management
- Assist Office Lead to ensure new hires complete required paperwork and provide valid employment documentation
- Coordinate with HireRight (or other similar vendor) to ensure all background and verifications are completed
- Serve as liaison between the firm, insurance providers, external entities and other vendors
- Administer health plans, including enrollments, changes and terminations
- Assist with establishing and manage benefits for the employees and contractors
- Assist with maintaining employment records (personnel, medical/confidential, I-9, WOTC, etc.)
- Completes data entry in required employment, payroll and scheduling systems (ADP Enterprise, Salesforce, FieldGlass, etc.)
- Assist with compliance of Federal, State, & County requirements (initial and annual compliance)
- Other ad-hoc duties related to Human Resources
- Coordinate with assigned HR Supervision on addressing and responding to resource issues
Bookkeeping / Payroll Duties:
- Assist with records and processing expenses; Accounts Payable ensuring correct coding, allocations, etc.
- Assist with recording and processing of invoices
- Entry level understanding to navigate and generate reports using QuickBooks, ADP, Salesforce
- Ensure that the administrative functions operate effectively and efficiently
- Coordinate with assigned Accounting QA Supervision
- Other functions as directed by Management
Required Knowledge, Skills, and Experience
- 1+ year of front desk and/or professional office administrative experience
- Experience working for a small-medium sized business
- Excellent customer service skills, with the ability to address issues with team members, executives, clients, vendors, and applicants
- Able to respond quickly to requests while managing conflicting priorities
- Attention to detail and good follow-through to task completion
- Proficient in MS Excel, Word, PowerPoint and Outlook
- Ability to meet tight deadlines and schedules
- Excellent verbal and written communication skills
- Excellent time management
- Ability to quickly transition between tasks

- Willingness to learn, show initiative, and be a positive team player
Desired Knowledge, Skills, and Experience
- BA/BS degree preferred
- Experience in a Consulting or Professional Services environment
